Terms of service

Draft — not yet reviewed by a lawyer. What this page says about how the software works is accurate. The commercial and legal clauses, and the highlighted gaps, need completing and reviewing before launch.

1. Who these terms are between

These terms are between [ to be completed: the registered entity name and UEN ] (“we”, “us”), and the business whose books are kept in aXios Books (“you”). Where an individual accepts these terms, they confirm they are authorised to accept them for that business.

2. What the service is

aXios Books is double-entry accounting software for businesses registered in Singapore. It records invoices, bills, credit notes, payments and journal entries; it produces a profit and loss statement, a balance sheet, a trial balance, aged receivables and payables, and a GST F5 return; and it imports bank statements so they can be reconciled against those records.

It is software, not an accountant. It does not check that what you enter is right, it does not advise you on how a transaction should be treated, and it does not file anything with IRAS or ACRA on your behalf. The figures it produces are arithmetic performed on what you recorded. You remain responsible for your books, your returns and your filings.

3. Your account

Sign-in is by a one-time code sent to your email address, so whoever controls that address controls the account. Keep it secure, and remove people from your company in the app when they leave.

You may invite others and give them a role. Roles limit what someone can see and do, and those limits are enforced on our servers rather than only in the interface — but they are still limits you chose, and you are responsible for who you invite.

4. Your data is yours

You own everything you put into aXios Books. We do not sell it, and we do not use it to train anything. We store and process it to run the service for you, as described in the privacy policy.

Every report in the app can be exported as a CSV file at any time, including while an account is being closed. We will not hold your records hostage to a billing dispute.

5. Records are kept, not erased

Accounting records work by correction, not deletion. A posted entry is never edited or removed — a reversing entry is written beside it, so the history of what happened stays readable. Issued invoices, credit notes and bills are voided rather than deleted, and the audit trail cannot be altered at all, by anyone, including us.

This is deliberate and it is what makes the books trustworthy. It also means you cannot ask us to quietly remove a transaction that happened. Singapore requires company records to be kept for five years.

6. Plans and payment

Plans, prices and what each one includes are shown in the app and on our pricing page. A trial converts to a paid plan only if you choose to continue. [ to be completed: Billing terms, renewal and refund policy ]

7. Availability

We work to keep the service available and we take backups, but we do not offer an uptime guarantee, and you should not treat aXios Books as the only copy of your records. Export regularly.

8. Acceptable use

Do not use aXios Books to record transactions you know to be false, to misrepresent a financial position to a third party, or to break the law. Do not attempt to reach another company’s data, and do not attempt to defeat the permission or approval controls. We may suspend an account being used this way.

9. Ending the agreement

You may stop using the service and close your account at any time. Export what you need first. [ to be completed: Notice period, data retention after closure, and how long we keep backups ]
